Tommy’s Express, a leading car wash franchise, hosts an annual general session for its franchisees and team members. The event serves as a platform for company updates, networking, and inspiration. They initially planned for a traditional ballroom-style setup with a stage, projection screens, and basic lighting and audio. However, they wanted to explore ways to enhance the experience for attendees and elevate their brand presence.
The original event design was straightforward, featuring two 16’x9’ projection screens, a flown line array PA system, and standard lighting. However, the planning took a turn when the decision was made to split the two ballrooms into separate spaces for the duration of the event. This required rethinking the stage setup to accommodate 375 attendees in a classroom seating arrangement, presenting both logistical and creative challenges. The goal was to ensure a high-impact visual and audio experience within the new spatial constraints.
As the AV partner, Bluewater brought its expertise in event production and immersive AV technology to the forefront. To address the spatial limitations and enhance the event’s visual appeal, Bluewater proposed a shift from the traditional stage setup to integrating LED walls as the centerpiece. This strategic change not only addressed the space issues but also significantly enhanced the event’s aesthetic and engagement levels.
The redesign of the stage and display included pivoting the stage elements by 90 degrees to fit the revised layout and installing a 22’ wide x 10’ tall LED wall as the main stage backdrop, accompanied by two 18”x8’6” LED totems/columns to add visual depth.
To enhance the overall impact and engagement of the event, Bluewater focused on several key technical upgrades. The video switching and playback systems were upgraded to enable simultaneous playback of multiple videos across five separate video destinations, crafting a dynamic and engaging visual experience. Additionally, enhancements to the audio and lighting designs were implemented to create a fully immersive environment, ensuring the event not only met but exceeded expectations.
Tommy’s creative team prepared all of the content which complemented the multiple displays, and together with Bluewater’s creative direction and technical expertise, it all came together seamlessly. The event was a resounding success, transforming from a standard ballroom session into an immersive experience that fully engaged attendees. Thrilled with the execution and impact of the event, Tommy’s Express has invited Bluewater back as their AV partner for next year’s event in Dallas, Texas.
